Job Description

We are seeking a highly skilled and detail-oriented Operations Coordinator to provide comprehensive administrative and operational support to department leadership and clinical staff within a premier hospital environment. As a non-clinical anchor for the unit, you will serve as the primary point of contact for communication, managing everything from visitor relations and high-volume calls to complex patient flow activities like transfers and discharges.

This is a fast-paced "command center" role that requires a blend of technical proficiency in scheduling/payroll systems and the soft skills necessary to maintain professional relationships in a high-pressure inpatient setting.

Location: Castro Valley, CA (1101 Lake Chabot Road)

Environment: Eden Medical Center – Inpatient/Hospital Setting

Employment Type: 13-Week Contract (Potential for extension and eligibility to apply for permanent roles)

Schedule: Monday – Friday | 8:00 AM – 5:00 PM (100% Onsite)

Key Responsibilities

  • Operational Coordination: Manage patient flow activities, including admissions, transfers, and discharges, while serving as the central communication hub for the unit.
  • Staffing & Payroll: Maintain department schedules and process payroll data with high accuracy.
  • Data & Reporting: Utilize Electronic Health Records (EHR) to run essential reports and ensure all documentation meets departmental standards.
  • Regulatory Compliance: Support state and federal standards (including Title 22 and Joint Commission) by tracking licensure requirements and maintaining meticulous personnel records.
  • Administrative Support: Assist the Director with confidential tasks, manage department supplies, coordinate meetings, and facilitate the onboarding of new staff members.

Required Qualifications

  • Education: High School Diploma or equivalent (Associate’s degree or Medical Terminology coursework preferred).
  • Experience: 6+ months of secretarial or administrative experience specifically within a healthcare setting.
  • Technical Skills: * Proficiency in KRONOS (timekeeping) and ANSOS (scheduling).
  • Expertise in Microsoft Office Suite.
  • Typing speed of 60+ WPM with 90% accuracy.
  • Knowledge: Strong understanding of medical terminology and the ability to maintain strict confidentiality (HIPAA).
  • Communication: Exceptional verbal and written skills with the ability to manage inquiries across diverse clinical teams.

Preferred Experience

  • 2+ years of administrative experience in a healthcare environment.
  • Previous experience supporting inpatient or surgical units.
  • Familiarity with Title 22 and Joint Commission (JCAHO) regulatory requirements.
  • Experience with equipment tracking and vendor coordination.

Work Environment & Benefits

This position is located 100% onsite at our state-of-the-art medical facility in Castro Valley. While this role begins as a 3.5-month contract, there is a strong possibility for extension. Successful contractors are encouraged to apply for internal permanent positions during their tenure.
