Job Description

Uptown Hospitality Group’s full time event manager will be responsible for private event execution, reservation management and building the UHG brand through internal events and marketing. This individual will work 40 hours/week between Uptown Social, Share House, Bodega and By The Way and will prioritize weekend work when private events are scheduled and supplement the schedule with office hours.

PRIVATE EVENT EXECUTION:

  • Pre-Event Preparation: In tandem with the Director of Events, works to seamlessly transition from the booking to boots-on-the-ground execution. Pre-event tasks include:
  • Pull wristbands for parties/line skips happening throughout the week
  • Typing menus to be displayed at parties
  • Reading all previous discussions/emails and BEO for all parties happening that week – constantly checking for updates/changes
  • Email “manager introduction” to client reiterating everything about the booking and introducing themselves
  • Attend weekly FOH Manager meetings for each store to debrief from past week and update the team on the week ahead
  • Oversees a team of party managers that help coordinate events. Lead a weekly meeting to go through details of each upcoming event for the week
  • Execute private events from setup to breakdown according to the event file
  • Act as the point of contact for the duration of the event and professionally represent Uptown Hospitality Group to the client
  • Event Day setup and breakdown requires duties such as: setting up/breaking down buffets according to checklist, spot cleaning event room, setting up/breaking down tables, etc.
  • Handle day-of payment for overages throughout the party and properly ring in prepaid receipts
  • Communicate with all parties (door staff, kitchen, bartenders, barbacks, etc.) to ensure the event runs smoothly
  • Complete post-event recap and submit to the Director of Events
  • Attend weekly meeting to debrief on all past and upcoming events

RESERVATION MANAGEMENT:

  • Creating “nightly schedule” on a weekly basis to be disseminated to all hosts and managers for Uptown Social
  • Monitor events email and check daily
  • Ensuring the agreed upon minimum is maintained for all reservations

INTERNAL EVENTS/MARKETING:

  • Help maintain the Uptown Hospitality Events Instagram page with daily posts, stories and engagement
  • Support the internal events team on large scale events thrown by UHG

Required Skills & Qualifications

  • Minimum 2 years of event management or hospitality experience
  • Excellent verbal and written communication skills with a high level of professionalism
  • Strong organizational skills with the ability to manage multiple events simultaneously
  • Ability to lead and oversee a team, including conducting regular meetings and delegating tasks
  • Comfortable handling financial transactions, including day-of payments and prepaid receipts
  • Ability to work weekends and flexible hours based on event scheduling
  • Social media management experience, particularly Instagram (posting, stories, and engagement)
  • Strong attention to detail when reviewing event files, BEOs, and client correspondence
  • Proficiency in Canva for marketing and event material design
  • Experience with TripleSeat or similar event management software
