Job Description

Key Responsibilities – CRE Transaction Coordinator

Transaction & Closing Coordination

  • Manage commercial real estate transactions from executed contract through closing
  • Maintain and monitor transaction timelines, contingency deadlines, and closing milestones
  • Coordinate closely with title companies, escrow officers, attorneys, and lenders to ensure all closing requirements are satisfied
  • Track and confirm completion of due diligence deliverables and closing conditions
  • Prepare and distribute transaction status updates to brokers and stakeholders
  • Ensure all transaction documentation is complete, accurate, and submitted on schedule

Title & Escrow Coordination 

  • Order and coordinate title commitments, title updates, and title policy issuance
  • Review title commitments and exception schedules for completeness and accuracy
  • Track and manage resolution of title objections and curative items
  • Coordinate delivery and review of surveys, zoning reports, and recorded documents
  • Ensure execution and timely return of closing documents and escrow instructions
  • Verify entity documentation, authorized signatories, and closing requirements
  • Coordinate earnest money deposits and confirm receipt with title company
  • Assist with preparation and review of settlement statements and closing disclosures
  • Facilitate communication between title companies and brokerage teams to resolve closing issues
  • Confirm that all closing deliverables are received prior to funding and recording

Due Diligence & Documentation Management

  • Coordinate due diligence items including title and survey, property condition reports, financial and lease documentation, and insurance and entity documentation
  • Maintain organized digital transaction files and document logs
  • Prepare, or coordinate the preparation of, all notices to Title, Brokers, Buyer/Seller teams, Legal Counsel, etc., related to the contract (e.g., extension notices, amendments, and assignments)
  • Ensure compliance with brokerage, lender, and regulatory documentation requirements
  • Track delivery of required documents for closing readiness

Communication & Stakeholder Coordination

  • Serve as the central point of coordination between brokers, clients, title companies, lenders, and attorneys
  • Coordinate with our internal development and accounting teams to ensure all items are captured and accurate on closing statements
  • Schedule closing calls, document signings, and coordination meetings
  • Provide proactive communication regarding transaction status and outstanding items
  • Escalate issues that may impact closing timelines

Administrative & Operational Support

  • Maintain transaction checklists and workflow tracking 
  • Coordinate commission documentation and closing packages
  • Assist brokers with listing and contract documentation as needed
  • Support reporting on transaction pipeline and closing activity

Qualifications

  • 2+ years of experience in commercial real estate, transaction coordination, title, escrow, or closing operations
  • Working knowledge of commercial real estate contracts and closing procedures
  • Strong understanding of title, escrow, and closing workflows
  • Exceptional organizational and time management skills
  • High attention to detail and document accuracy
  • Ability to manage multiple entity involvement and multi-lender coordination
  • Strong communication and problem-solving skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)

Preferred Qualifications

  • Experience working directly with title companies, escrow, or closing teams
  • Familiarity with complex commercial real estate transaction types including:

Investment sales

JV Structures

Leasing transactions

Development and land acquisitions and dispositions
